USA Requirements

The following is required for USA team Members:

1.USA athletic registration application. The registration is attached to the back of this packet. Each swimmer will need to have one filled out. This registers the swimmer with USA Swimming and will allow them to practice and compete.

2. Moon Valley Aquatic Club (MVAC) registrationform. The MVAC registration form is also attached to the end of this packet. This registration form allows the coaches to complete their database for more efficient administration of the team.

3. A copy of the child’s birth certificate will also need to be provided. This is to ensure a quick and efficient registration of the athlete with USA Swimming.

MVAC Billing & Fees:

All MVAC billing is done through the country club. We set up an account number for you if you are not currently a member of the country club. This account number is only for MVAC billing purposes. This account does NOT allow country club charges. It takes us a few weeks to set up this account.

MVAC requires the initial USA Registration, 1/3 of the MVAC Family Fee, and the MVAC Escrow Account set up fee paid within the first week of practice. This comes to $58 for 2008-2009 USA Swimming Registration, $45 per family for non-members of MVCC and $20 for members of MVCC, and $50 for the MVAC Escrow account. $152.00 for non-members and $127 for members payable to MVAC.

All billing is done post-billing. This means that you receive the services and are then billed for them. Your September swimming fees are billed in September and you receive the statement in October. Please be prompt in paying your statements to Moon Valley Country Club.

One Time fees:

An initial $50 Escrow fee is due after the first week of swimming. This fee will not billed to your account. It must be paid before the account is set up. The escrow account is a swimmer’s MVAC Bank. This money gives the team the funds in advance in order to pay for meets and hand out equipment. The ‘Escrow Account’ is like the swimmer’s bank or checking account with the team. After being set up, we bill to keep the Escrow Account at $50. When a swimmer retires from the team, the $50 is refunded.

Annual fees:

USA Swimming Registration – Billed in August or when you start swimming. $57 as of August 2007. This is once annual fee per swimmer. The fee for 2009 registrations will be $58.

Team Family Fee – MVAC uses this fee for Coach Training, Travel, Registrations, Team Equipment upgrades (Tents, Timing gear maintenance, No Mercy awards, etc.), as well as giving back to the team in terms of prizes, lower cost equipment, and official registrations. Non-members will be billed a total of $135 per family and members will be billed $60 per family. We choose to break this fee up into 3 installments billed each in February, June, and October. Each installment will be for $45 per non-member family and $20 per member family. Leaves of Absence will not excuse a family from the family fee.

Monthly Swimming Dues:

The dues are not pro-rated. If a swimmer attends 2 or more practices in a billing month the entire month’s dues will be billed. Competitions, weather conditions, and planned team breaks do not allow dues to be pro-rated. MVAC will be charging a special summer fee of $25 per swimmer per month for June and July due to the increased number and length of practices.
 

 
Leaves of Absence :
 

MVAC does allow your monthly swimming dues to be suspended during a leave of absence. Illness, High School swimming, Month long summer vacations, other activities can all get in the way of continuous MVAC training. Please submit via email a Leave of Absence request. Only submissions via email will be accepted. Leaves of absence will be for an entire month, not partial months. Leaves of absence only halt monthly swimming dues, not team fees, registration fees or fundraising commitments.
 

Requesting a leave of absence holds a space for your swimmer on the team. We run a very full team and often have a ‘wait list’ to become a part of MVAC.

Families will be assessed a $25 administrative reinstatement fee each time they restart from a leave of absence.

Fee Structure:

Our fee structure is researched each year in comparison with other private facilities. The Board of Directors at MVCC sets the fees. Fees will generally change sometime between October and December of each year. MVAC remains highly competitive for non-members as compared to other teams and is ‘a great deal’ for members of the country club.

Accounts Receivable :

Due to the nature of our billing cycle and the use of Moon Valley Country Club as our accounting department, MVAC runs an average of 45-60 days between billing for an event and receiving funds from the country club. Please recognize that while MVAC likes to run with a cash reserve, it cannot always do so. It is important that swim team members pay their bills on time. Any late payments have to be paid to the country club by the swim team itself.

Statements:

You will receive a statement from the country club each month. With statement will also be form generated by the aquatics club describing a breakdown of your fees (dues, escrow, meet, family fee, registration, etc.). All payments can be made via the drop box located at the fitness desk.

PAYMENTS

Monthly dues will be billed by Moon Valley Country Club . You will receive your bill in the mail and you will need to return your bill via mail or the drop box located at the fitness center desk. Please do not give payments to the coaches or aquatics staff.
